Privacy Notice

Last updated: 1 October 2026

This notice explains how we use personal information for enquiries, lessons, recruitment and our website.

Who we are

Klavier & Quavers LTD (company number 16490321) is responsible for your personal information. Contact privacy@klavierquavers.uk or write to our registered office: 124 City Road, London, England, EC1V 2NX.

Information we collect

We collect the contact details, postcode district, availability and learner information you provide for lessons. Teaching applications may include qualifications, experience and a CV.

How and why we use information

We use customer and parent information to arrange and provide lessons under our agreement, including steps requested before booking. We rely on legitimate interests to answer enquiries, assess applications, provide suitable lessons for children, handle complaints and operate and protect our website.

Financial records meet legal obligations. Retaining an application for future opportunities requires separate consent, which you may withdraw.

Sharing and overseas processing

Relevant information is shared with authorised staff, teachers and services supporting hosting, forms, spam protection and business email. Advisers or authorities may receive information for advice, legal obligations or safeguarding.

Online lessons involve live audio, video and connection details. They are not recorded by default.

Some website and email processing takes place outside the UK. Applicable service terms describe adequacy arrangements or approved contractual safeguards. Contact us for the arrangements that apply to your information and copies of relevant safeguards.

Website

Our website hosting and analytics are provided by Automattic. Website services process IP addresses, browser details and form submissions for operation and security. With your consent, analytics counts page visits and referring pages to help us improve this website. Raw statistics logs are retained for 28 days.

Retention

Enquiries that do not lead to enrolment and unsuccessful applications are kept for six months after the last meaningful contact or recruitment decision. Applications kept with consent: up to 12 months, or until withdrawal. Routine lesson notes: normally 12 months after lessons end.

Accounting records: normally six years after the relevant financial year. Records may be kept longer for legal obligations, unresolved complaints or claims. Safeguarding records, technical logs and backups follow their purpose and applicable retention requirements.

Your rights

Depending on the circumstances, you may request access, correction, deletion, restriction or a portable copy of your information.

You may object to processing based on our legitimate interests.

You may withdraw consent without affecting earlier lawful processing. Email privacy@klavierquavers.uk to exercise your rights or raise a concern.

You may also complain to the Information Commissioner’s Office.
